1. Scope
This Privacy Policy applies to outreachone.com and the OutreachOne services operated by Regardful, LLC. OutreachOne is an invite-only pilot that helps community members request care-kit outreach, allows pilot members to fund approved requests, and helps authorized outreach workers coordinate private delivery attempts.
OutreachOne is not an emergency service. Do not use it to report an immediate danger or request emergency medical assistance.
2. Information we collect
Depending on how you use OutreachOne, we may collect:
- Account and profile information, such as your name, email address, role, pilot eligibility, and an optional account photo you choose to upload.
- Request information, including the requested kit, a general service area, status, and information needed to coordinate an outreach attempt.
- Precise or last-seen location information when a requester voluntarily provides it. Exact location is restricted to authorized operations and workers.
- Funding records, contribution amounts, and transaction status. Stripe processes payment-card details; OutreachOne does not store complete card numbers.
- Private messages, delivery outcomes, consent choices, and operational audit records.
- Optional phone numbers, email addresses, and communication preferences.
- Optional locating photos supplied by a requester before an outreach interaction, including lawfully obtained photos of a person in a public area, for restricted outreach coordination.
- A recipient profile photo, preferred name, or delivery-proof photo only with affirmative consent for that use. Locating photos do not establish any of these consents.
- Basic device, browser, security, and usage information needed to operate and protect the service.
3. How we use information
We use information to:
- Operate the pilot, review requests, coordinate funding, assign workers, and record truthful outcomes.
- Authenticate users, enforce role-based access, prevent fraud, and maintain service security.
- Send requested in-app, email, or SMS service notifications.
- Provide support, investigate delivery or payment issues, and improve accessibility and reliability.
- Produce aggregate pilot metrics that do not reveal a recipient, exact location, or individual request.
- Comply with legal obligations and enforce our Terms of Service.
5. SMS privacy and consent
OutreachOne SMS is an optional transactional notification channel for invited pilot members and verified outreach workers. A Regardful, LLC representative records a mobile number and enables SMS only after receiving affirmative verbal consent during onboarding. SMS consent is optional and is not a condition of requesting, funding, or delivering a kit.
- Messages concern active requests, assignments, or private OutreachOne conversations; they are not marketing.
- Message frequency varies according to account activity and active requests.
- Message and data rates may apply.
- Reply STOP to opt out. Reply HELP for assistance.
- Carriers are not liable for delayed or undelivered messages.
We use mobile numbers and SMS records to deliver, route, secure, and audit requested communications. We do not use them for unrelated advertising.
6. Location and recipient privacy
Public and funder views show only a general service area and privacy-safe status. Exact location, identifying descriptions, and worker-only finding information are restricted to authorized outreach. A civilian request does not create a public recipient profile.
A requester may attach an optional, lawfully obtained locating photo before interacting with the person, including a photo of the person in a public area. OutreachOne does not require a separate permission confirmation for this private locating use. The person uploading it must have the right to provide it and respect applicable privacy rights. A written description remains an alternative.
Only authorized operations personnel and the assigned outreach worker can view the processed locating photo. It is not displayed in public or funder views or used as a recipient profile or delivery-proof photo. Workers must still ask before a handoff and obtain affirmative consent for recipient profiles, delivery-proof photos, or any authorized public sharing of a recipient’s identity or image.
Account photos are separate. You may upload, replace, or remove your own account photo. It is visible to you and authorized operations personnel. If you are the assigned outreach worker, the original requester may also see it with your assignment. Account photos do not appear in public or funder views.
7. Retention and security
We retain information only as long as reasonably necessary for the pilot, operations, security, dispute resolution, and legal obligations. Private message data is generally scheduled for retention for up to 180 days, subject to operational or legal requirements. Payment, audit, consent, and outcome records may be kept longer when necessary.
For a submitted request, we keep the original locating photo in a restricted company archive, including any metadata contained in that original. The outreach view uses a resized copy with embedded location and camera metadata removed. The original and processed copy remain associated with the request for its lifetime; completing an outreach attempt does not automatically delete them. When the request is deleted, removal of both stored files is queued and failed deletions are retried. Unused or abandoned uploads are scheduled for cleanup after their upload period expires.
Account photos follow a different process: we create a 512-pixel square copy with embedded metadata removed and attempt to delete the uploaded original after processing. Cleanup is retried if needed, including after temporary upload access expires. Replaced or removed account photos are also queued for storage deletion. A removed photo stops appearing in new account views; a previously issued private viewing link may remain usable for up to five minutes.
We use access controls, encryption provided by our infrastructure partners, audit logs, and role-based authorization to protect information. No online service can guarantee absolute security.
8. Your choices
You may decline optional information and communication channels. You may ask to access, correct, or delete information associated with your account, subject to security, operational, and legal retention requirements. You may opt out of SMS at any time by replying STOP.
OutreachOne is intended for adult pilot participants and authorized workers. Care kits may support young people, but the service is not designed to collect account information directly from children.
9. Changes and contact
We may update this policy as the pilot changes. We will post the revised effective date on this page and provide additional notice when required.
